Position Summary:
The Administrative Assistant to the Provost is a half-time (20 hours/week), 12-month administrative position reporting directly to the Provost. The staff member in this position works collaboratively with the Provost Office staff, the Executive Administrative Assistant to the President and Provost’s Offices, and other University offices.
Essential Responsibilities:
- Prepare adjunct faculty contracts
- Gathering of information
- Mail merge Excel sheet and contract file
- Upload contracts for Dean and Provost signatures
- Upload contracts for adjunct faculty signature
- Create master adjunct faculty sheet
- Create adjunct SharePoint with Payroll Office/add relevant contracts and master sheet
- Assist Executive Administrative Assistant to President and Provost’s Offices with faculty overload contracts
- Course builds for University and Honors programs
- Assist Associate Provost with classroom assignments
- In-seat course classroom assignments
- Requests for day-to-day classroom usage from Athletics and extracurricular groups
- Provost List
- Mail merge Provost List letters based on list provided by Registrar
- Provost List certificates
- Assist Associate Provost with maintenance of Academic Integrity Violation records
- Collaborate with Executive Administrative Assistant on maintenance of Provost Office Dropbox Sign
- Assist Associate Provost with Academic Catalog
- Prepare payroll paperwork for Provost Office, University Program, and Academic Success Center staff (PEs, TAs, Tutors, etc.)
- Prepare Dual Role forms for faculty/staff teaching in University, Honors, Innovation and other programs as needed
- Other duties as assigned
Qualifications:
- Bachelor’s degree preferred
- Two (2) years of administrative support or office management experience
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to work independently and in accordance with University policies and procedures
- Willingness to take the initiative to create/modify processes to promote productivity
- Excellent organizational and problem-solving skills, including attention to detail
- Good verbal and written communication skills
- Ability to maintain confidentiality at all times
- Commitment to great customer service
