Essential Functions of the Position:

  • Provides wide range of complex office administration and support to Resident Director
  • Develops, implements and administers departmental office systems and procedures. Establishes office procedures, policies and operations. Interprets and communicates policies and processes. Management of daily cashier drawers, in-house cash, daily cash reports, and daily deposits to assure accuracy of all areas.
  • Processing of accounts receivable for in-house and AVI activities including invoice processing and documentation.
  • Maintains office services by organizing office operations and procedures; preparing payroll; controlling correspondence; designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.
  • Manages complex calendars, arranges for meetings, appointments and travel arrangements.
  • Perform other clerical/administrative functions as necessary
  • Prepare other miscellaneous reports or subject research as requested
  • Organize and coordinate Resident Director’s schedule
  • Prepare required documents for in-house accounts payables.
  • Assist in preparation of billing for catering, internal & external and provide follow-up of external payments and billing.
  • Prepare various reports for AVI HQSC and the University.
  • Provide weekly and bi-weekly payroll information for Dining Services employees to the University’s payroll department using ADP software.
  • Work registers as needed within the entire retail operation.
  • Work with C-board to manage upkeep of all registers on at all of the UC locations.
  • Provide telephone support for all incoming calls as needed.
  • Back up other Dining Services positions as needed
  • Perform other clerical/administrative functions as necessary
  • Special Events as needed
  • Other duties as assigned by the Resident Director.


  • A minimum 2-years of experience with bookkeeping
  • A minimum 2-years of experience as an Administrative Assistant
    • Recording business transactions
    • Sales and purchases
    • Payroll
    • Payment of bills
  • Computer experience mandatory
  • Proficient in Excel, Word and other Microsoft Office Suites
  • Time Clock Plus experience preferred
  • Strong leadership skills and Supervisory experience
  • Maintain organized files and records
  • Applicant must be able to multi- task and prioritize in a fast – paced work environment
  • Maintain confidentiality and discretion regarding University business and personnel matters
