Audio Visual Services

The University of Charleston Audiovisual Department provides a wide variety of services to the campus. Support is provided not only for U.C. faculty, students, and administrators, but many outside groups also use our campus and our facilities. Our goal is to provide competent, timely, and courteous service to all users.

Services Provided

One of the most used services provided by the UC Audiovisual Department is provision of equipment necessary for students and faculty to make presentations in class. AV also provides equipment for meetings, concerts, plays, and other events. The AV Department can:

  • Provide almost any type of general presentation or meeting room equipment, from overhead projectors to LCD video projectors and laptop computers or sound systems for parties.
  • Coordinate and/or operate the lighting system in the Geary Auditorium.
  • Provide video editing and copying capabilities.
  • Provide satellite downlink services, with feeds to the larger meeting rooms in the Geary Student Union
  • Provide audio & video cassette and CD duplication services.
  • Make black & white copies and overhead transparencies using a standard copying machine and color transparencies from Power Point or similar software using a color printer.
  • Copy presentations from computer to videotape.
  • Scan documents or photos and save them as a computer file or copy them to videotape.
  • Convert VHS videotapes between various international formats

Equipment Check-Out

Any UC student in good standing can check out video cameras, digital cameras, portable stereo equipment, or other such equipment as the needs arise

Prerequisites

  • You must present a validated UC ID card and sign a check-out agreement stating that you will be completely responsible for the safe-keeping and timely return of the equipment.
  • The normal time limit on loans is 72 hours. If special arrangements need to be made, the department director can make those arrangements in most cases.
  • If no special arrangements are made, and the equipment is returned after the 72 hour time limit, a penalty fee of $2.50 per day will be charged.
  • If the equipment is returned in damaged or poor condition, the student will be invoiced for the repair or replacement of the equipment, even if the equipment was "loaned" by the authorized borrower to another student who caused the damage. The person who checks out and signs for the equipment is the one who is ultimately responsible for it.

Requests

Requests for classroom setups can be sent to AVsetup@ucwv.edu or you can call (304) 357-4788. Faxes should be sent to (304) 357-4742.

Normally, regular classroom set-ups require 24 hour advance notice. Set-ups for special events or meetings should be requested at least 48 hours in advance. For weekend events, please try to notify us of your needs no later than Wednesday.

Please don't hesitate to ask for help if you do have something come up at the last minute. AV Department staff will do their best to meet last minute needs, and ask your understanding when this is not possible. Some types of equipment are in great demand or in limited quantities. There are also times when available staff is fully scheduled and can not handle another event.

If you need to do video editing, please feel free to make an appointment with the department director. Normally, once you have been shown how to use the equipment, you are left to complete your projects on your own. If you do need special assistance, please make sure to mention that when making an appointment. Also, please let us know if you will be unable to keep or will be late for an appointment to do editing, . Someone else may be waiting anxiously to take your spot or available staff may need to be out of the office doing equipment set-ups or pick-ups.

Supplies

The Audiovisual Department carries a wide selection of supplies, including blank audio and video tapes, overhead transparencies for copiers or printers, batteries, and blank CDs. All are available at very reasonable prices.
